Administrative Assistant to the Dean, College of Business
Franklin University has a position available to support the Dean of the College of Business as an Administrative Assistant. This individual will provide administrative support to the Dean and other faculty, including department chairs, on an as-needed basis. This includes skillfully compiling information for and preparing reports, drafting and sending miscellaneous professional correspondence, storing, retrieving and integrating information for dissemination, conducting small research projects, drafting and creating presentations, managing the calendar, scheduling meetings, event planning, budget tracking and other general office duties including ordering and maintaining office supplies. Prepares and distributes minutes of meetings and insures that action items are tracked and documents are archived. Prepares travel authorizations, makes travel arrangements and completes expense reimbursements. Maintains electronic and hard copy files in an organized and logical manner. Maintains decorum of the office by tactfully and diplomatically representing the Dean to others inside and outside the University when she is unavailable. Builds and maintains positive relationships at all levels of the University. Works collaboratively with other Administrative Assistants throughout the University to share best practices and support the overall needs of the University. Takes initiative to increase knowledge of the College in order to be able to anticipate needs and recommend efficiencies. Manages multiple calendars, inboxes and deadlines making sure the Dean and other faculty members are apprised of and adequately prepared for their calendar commitments. Maintains tracking system to insure deadlines for projects are met. Demonstrates flexibility in prioritizing and reprioritizing work as deadlines and circumstances change. Maintains sensitive information entrusted to him/her in a highly confidential manner and uses discretion in knowing how much information to share with various constituencies. Plans various meetings and events and assists in on-boarding new faculty. Performs other duties as assigned by the Dean, often in support of other faculty or administrative personnel working on priority projects. Some evening/early morning hours may occasionally be required to support the needs of the University.
A Bachelor’s degree or equivalent progressive work experience is required. This individual should be able to work with minimal supervision, anticipate the needs of the Dean and faculty, have the ability to multi-task, be detail-oriented, dependable, and possess excellent organizational, communication and interpersonal skills, while maintaining confidentiality. We seek someone with strong writing and oral communication skills. The successful candidate must have highly developed technical competence with Microsoft Office products including Word, Excel and PowerPoint (Access and other database experience is desired). Must be highly skilled in preparing presentations, charts, and spreadsheets. Prior experience working in higher education is desired and prior project management experience is strongly preferred. Experience with Microsoft Teams would be a plus in this position.
