Administrative Assistant to the Executive Director of HR
Franklin University has an opening for an Administrative Assistant who will provide high-level assistance to our Executive Director of Human Resources. He/she will assist the Executive Director with strategic initiatives, planning and orchestration. This role will also provide staff support to the department.
Specific responsibilities include: ensuring confidentiality of sensitive documents, information and correspondence; maintaining the Executive Director’s calendar and assisting with planning; drafting correspondence; creating agendas and taking meeting minutes; reviewing phone messages and email; prioritizing items; managing the departmental budget; providing committee support; coordinating materials for meetings and training sessions (scheduling conference rooms, coordinating food and logistics); providing regular updates regarding progress on initiatives; providing administrative support for the Succession Planning process and other special projects; managing the training database; paying invoices, reconciling the Executive Director’s corporate credit card and expense reports; booking travel and hotel arrangements, as needed; planning departmental retreats; and serving as the communication liaison for the department.
We seek someone with a Bachelor’s degree and 3-5 years of previous experience providing proactive support as an administrative assistant. The selected individual will have intermediate to advanced Microsoft Office skills with aptitude to learn additional technology. He/she will be an ambassador for the Executive Director providing Red Carpet Service on behalf of the University. The position requires a results-driven professional with strong attention to detail and highly developed organizational skills who follows-up and takes ownership of the work. Prior experience as an executive assistant would be a plus in this position.
