Administrative Assistant to the VP, Financial Services
Franklin University has an opening for an Administrative Assistant to the VP, Financial Services. This individual will assist the Vice President with calendar management, keeping him on track for meetings and appointments, reading and prioritizing email, representing him with various vendors, reviewing bank accounts on a daily basis, prioritizing task management and follow-up, preparing agendas for weekly staff meetings, preparing and electronically disseminating documents for quarterly Board meetings, responding to telephone calls, and assisting with timesheet follow-up and manager approval. Reporting to the Vice President, the Administrative Assistant will provide administrative and staff support to the Vice President, the Director of Accounting and the department. Additional duties include ordering supplies for the department, processing departmental expense invoices, shadowing Payroll to be able to respond to questions from adjuncts and employees, managing mail and media, and overall, helping to create an organized environment with minimal paper.
We seek someone with 1-3 years of previous experience as an Administrative Assistant to serve in this key role. A Bachelor's degree is required and the selected individual will have strong attention to detail as well as highly developed grammar, writing and proofreading skills. Basic proficiency with Word and Excel is required and the Administrative Assistant must be highly organized to be able to set up and maintain an electronic filing system. The Administrative Assistant will review various University and Industry documents and provide summaries of relevant information to the Vice President and others in the department. The position requires someone who can work with minimal supervision and will maintain the confidentiality of the office data. We seek someone with financial skills to be able to do basic spreadsheet analysis. Prior experience with financial terminology would be a plus in this position.
